Privacy policy

Green Heating Solutions ("we", "us") sells and installs wood boilers and sells boiler parts and heating supplies in Renfrew County, Ottawa and surrounding areas. This policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to this website, to phone and email enquiries, and to our Facebook page, including Facebook ads and Facebook lead forms.

We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who is responsible

Information we collect

Information you give us. When you call, email, message us on Facebook, or send a quote request, you may give us your name, phone number, email address, town or property location, what you want to heat, your current heating system, and anything else you choose to include, such as photos of your boiler or a part.

Facebook lead forms. If you fill out one of our lead forms on Facebook or Instagram, we receive only the answers you submit on that form. That is usually your name, phone number, email address, town or postal code, and your answers to any questions about your heating needs. The form shows you exactly which fields will be shared with us before you submit it.

Quote planner on this website. The quote planner builds an email inside your own browser. The website does not send, store or collect your answers. We only receive them if you choose to send that email to us.

Information collected automatically. This website does not use analytics, advertising pixels, or tracking cookies. Our web hosting provider may process basic technical information, such as IP address and browser type, to deliver and protect the site. Fonts load from Google Fonts, which receives the technical information needed to send them.

Ad reporting from Meta. When we boost posts or run ads on Facebook or Instagram, Meta gives us summary reports, such as how many people saw or clicked an ad. These reports do not tell us who you are unless you contact us or submit a lead form.

How we use your information

We use your information only to:

• reply to your questions and follow up on your enquiry;
• recommend boiler models, parts or supplies and prepare quotes;
• arrange delivery, installation, and parts orders;
• keep records of sales and installations, including for warranty purposes;
• meet our legal, tax and accounting obligations.

We will not use your information for a new purpose without asking you first.

Consent

By contacting us or submitting a lead form, you agree to us using your information for the purposes above. You can withdraw your consent at any time by contacting us. If you do, we will stop following up with you. Withdrawing consent may mean we can't complete a quote or order.

Marketing messages

We will only send you promotional emails or texts if you have agreed to receive them, as required by Canada's Anti-Spam Legislation (CASL). Every promotional message will tell you how to unsubscribe, and you can also ask us to stop at any time by email or phone. Replies about your own enquiry or order are not promotional messages.

When we share information

We do not sell or rent your personal information. We share it only:

• with service providers we use to run our business, such as Google (Gmail) for email and Meta for Facebook messages, ads and lead forms;
• with manufacturers or suppliers when needed to fill your order or register a warranty, and only the details they need;
• when required by law.

Some of these providers may store information outside Canada, including in the United States, where it may be subject to the laws of that country.

How long we keep it

We keep your information only as long as we need it for the purposes above. Enquiries and leads that don't turn into a sale are deleted when they are no longer needed. Records of sales and installations are kept as long as needed for warranty, legal and tax purposes.

How we protect it

We use reasonable safeguards to protect your information, including password-protected accounts and limiting access to people who need it to serve you. No method of sending or storing information online is completely secure, so please don't send financial account details or other sensitive information in a message.

Your rights

You can ask us to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong or out of date;
• delete your information, unless we must keep it for an open order, warranty, or a legal obligation;
• stop contacting you.

Cookies

This website does not set any cookies. Facebook, Instagram and Google set their own cookies on their own sites, under their own policies.

Our website links to Facebook and to boiler manufacturers' websites. Those sites have their own privacy practices.
